Positions can vary from remote, to hybrid, to 100% onsite depending on what the client requires. All candidates must be in the St Louis, MO or St Clair County, IL region to be considered.

Ultimate Staffing is seeking highly organized and detail-oriented Executive Assistants. The ideal candidate will possess advanced Microsoft Office skills, including Excel, Word, PowerPoint, and Outlook, and will excel in preparing reports and presentations. The Executive Assistant will play a key role in ensuring smooth day-to-day operations, managing complex schedules, and providing critical administrative support.

Key Responsibilities:

* Administrative Support: Provide high-level administrative assistance to executive leadership, including managing calendars, scheduling meetings, and coordinating travel arrangements.

* Report Generation: Create, format, and distribute accurate and timely reports using Excel and other Microsoft Office tools.

* Presentation Development: Prepare professional presentations for internal and external meetings using PowerPoint, ensuring clarity, consistency, and a visually engaging layout.

* Document Management: Draft, edit, and proofread emails, memos, and other business communications. Organize and maintain electronic and paper filing systems.

* Data Analysis: Assist in compiling and analyzing data for business reporting purposes, ensuring data integrity and accuracy.

* Meeting Coordination: Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.

* Communication: Serve as a liaison between executives and internal/external stakeholders, handling communications professionally and maintaining confidentiality.

* Expense Management: Prepare and submit expense reports and ensure timely reimbursements.

* Project Support: Assist with special projects, research, and other ad hoc tasks as assigned by the executive team.

Qualifications:

* Education: Bachelor's degree preferred but not required; relevant certifications are a plus.

* Experience: Minimum of 3-5 years of experience in an Executive Assistant or similar role, supporting senior leadership.

* Technical Skills:

o Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).

o Strong report generation and data analysis skills using Excel.

o Advanced presentation development skills using PowerPoint.

o Comfortable with other business software and tools as needed.

* Communication Skills: Excellent verbal and written communication skills, with a strong attention to detail in documentation.

* Organizational Skills: Ability to prioritize tasks, manage multiple projects simultaneously, and meet tight deadlines.

* Problem-Solving: Strong analytical and problem-solving skills, with the ability to anticipate the needs of executives and offer proactive solutions.

* Confidentiality: Demonstrated ability to handle sensitive information with discretion.
