Our client in Austin, Texas is seeking a highly capable and hands-on Estate Manager to join their established service team. This pivotal role will oversee multiple construction projects at two homes (25 minutes apart) while maintaining the smooth daily operation of the family's primary estate.
The successful candidate will bring a strong background in construction and project management, paired with refined organizational, interpersonal, and leadership skills. They will be equally comfortable managing multimillion-dollar projects and jumping in to handle everyday household tasks when needed.

Key Responsibilities Project & Construction Management (70-80%) - Oversee high-end residential and commercial remodels and new construction projects throughout the Austin area.
- Work closely with project managers, contractors, architects, engineers, and vendors to ensure accuracy, quality, and adherence to deadlines.
- Review and track project budgets, schedules, and critical paths.
- Conduct high-level quality control and consistency enforcement to meet the family's exacting standards.
- Maintain and organize large volumes of construction and design documents in PlanGrid and cloud-based platforms.
- Ensure all COIs, lien waivers, and consultant contracts are current and compliant.
- Review invoices and billing packages for accuracy and ensure timely processing with the accounting team.
- Read and interpret architectural, structural, MEP, and interior design plans and specifications.
- Organize and track RFIs, ASIs, ASAs, and submittals requiring owner review or approval.
- Conduct weekly internal meetings for scheduling, budget review, and client directives.
- Provide clear and concise weekly progress reports summarizing updates, expenditures, and next steps for the Chief of Staff and family.
- Maintain vendor accountability-monitor performance, track progress, and hold all contractors to agreed timelines and quality standards.
- Assist with planning and scoping of upcoming projects and estate improvements.
Estate Operations & Team Leadership - Ensure all household systems are fully operational, including HVAC, lighting, AV, and smart-home technologies.
- Develop and maintain a comprehensive preventative maintenance calendar to minimize downtime and extend system longevity.
- Oversee and support a small household team, ensuring clear communication, task follow-through, and accountability.
- Build and maintain strong, positive relationships with staff, vendors, and contractors, fostering a collaborative and respectful work culture.
- Supervise vendors and service providers, ensuring all work is performed to the highest standard and in alignment with client expectations.
- Liaise with the family's security team and other key partners to coordinate property-related matters.
- Handle smaller household maintenance tasks directly as time allows (e.g., changing light bulbs, fixing a fence, etc.).
- Oversee vehicle maintenance, registration, and detailing schedules as applicable.
- Ensure compliance with safety protocols, insurance requirements, and applicable local regulations.
- Represent the family with professionalism, warmth, and discretion in all dealings.
Administrative & Financial Oversight - Review, approve, and track invoices and purchase orders, ensuring alignment with project budgets.
- Collaborate with accounting to reconcile expenditures and prepare financial summaries.
- Maintain organized and detailed records for all property-related documentation.
- Evaluate new vendors, negotiate service agreements, and manage ongoing vendor relationships.
- Maintain familiarity with all warranty, service, and maintenance contracts for estate systems.
Qualifications - Minimum of 5+ years of experience in real estate, construction, or project management- within private estates or luxury residential settings .
- Strong understanding of the construction process from concept through completion.
- Proficient in project management tools such as PlanGrid, Basecamp, or comparable platforms.
- Skilled in Apple systems and software including Google Drive, Microsoft Excel, Word, OneNote, and MS Project.
- Exceptional communication and interpersonal skills with the ability to adapt to various personalities and situations.
- Demonstrated ability to handle confidential matters with diplomacy and discretion.
- Emotionally intelligent leader who leads with kindness and models a calm, professional demeanor.
- Proven ability to manage multiple projects simultaneously and meet deadlines under pressure.
- Strong problem-solving and analytical skills.
- Clean driving record and valid driver's license.
- Non-smoker/non-vaper.
- Must be authorized to work legally in the U.S. and willing to undergo an in-depth background investigation.
- Must have strong verifiable professional references.
- Must be willing to relocate to Austin, TX if out of area.
Physical Requirements - Must be able to walk properties and construction sites, climb stairs, and occasionally lift up to 25 lbs.
- Comfortable performing light hands-on maintenance or repair tasks.
- Ability to work on-site full-time and remain active throughout the day.
Work Environment - Full-time, on-site position in Austin, TX.
- Typical weekday schedule with some after-hours responsiveness as needed.
- No travel is anticipated.
Compensation and Benefits - $175,000-$200,000 + | depending on experience
